5 – Refunds

5.1 HLSI events

5.1.1 Examples of HLSI events are Tuesday lectures, Science lectures, Opera, Concerts, and Film.

5.1.2 We do not refund tickets for HLSI events, unless HLSI has to cancel the event.

5.2 Courses

5.2.1 We are a small organisation that cannot meet its course costs without a certain number of students signing up for courses. For this reason, we ask you to think carefully about your personal calendar before you sign up for courses: we cannot provide refunds, other than related to serious sudden medical conditions or similar. In exceptional cases where a refund is made, a £25 administration charge is applied.

5.3 Hiring

5.3.1 Deposit: Once a date has been selected, a provisional booking is made. The prospective hirer then has two weeks to confirm, at which point, a returnable. deposit of £250 will be required to secure the booking. This is banked and will be held until after the function in the event of any damage, excessive mess, over-running of booked time, the creation of undue noise or the inclusion of more guests than agreed. We expect however that the premises will be left as you found them and your deposit will be returned within a few days. A caretaker will be on duty throughout your hire.

5.3.2 Deposit Cancellation Fees: The following cancellation fees will apply. If notification is received more than four weeks in advance, then 50% of the deposit will be retained. In the event of less than four weeks’ notice being given, a charge of 100% of the deposit will apply. If meanwhile the issued invoice for paying the hiring has been paid, we will refund the full amount.

5.4 Gallery

5.4.1 The balance of the hire fee shall be paid by the Hirer to the Institution no later than the date falling three months before the due date for the exhibition. In addition, a deposit of £100 is to be paid by the Hirer to the Institution against the costs that might be incurred if the exhibition has to be re-scheduled for circumstances outside our control. The deposit will be dealt with in accordance with the ITCR. A deposit of £100 against damage or loss will also be required no later than the time specified in the ITCR.

5.4.2 The Hire Fee which for 2026-2027 is £975.

5.4.3 Hirers are required to pay a deposit of £100 against rescheduling and a deposit of £100 against damages. If the rescheduling deposit is unused by the time the exhibition goes up, it will serve as the damages deposit. If there are no damages, the damages deposit will be refunded after the exhibition.

5.4.4 Payments should be made directly to the Institution’s bank account and carrying a reference, both in accordance with the details provided to the Hirer.

5.4.5 In events or circumstances out of the Institution’s reasonable control, including but not limited to, enforced closure of the building due to pandemic, the Gallery will use its reasonable endeavours to reschedule postponed exhibitions.

5.4.6 If a new date is agreed with the Hirer, the £100 deposit against rescheduling will be taken by the Institution and is no longer a deposit. A further deposit of £100 will be required against a second re-scheduling.

5.4.7 If it is not possible to agree a re-scheduled date then the Institution will keep (i) the non-refundable £250 of the Hire Fee (originally paid to secure the booking), and (ii) the £100 deposit against rescheduling, but the balance of any Hire Fee above the initial £250 non-refundable payment of the Hire Fee will be refunded to the Hirer.

5.4.8 Cancellation by the Hirer must be made in writing. If the cancellation is made more than four months before the start of the exhibition, then the initial payment of £375 and the rescheduling deposit of £100 will be retained by the Institution. If the cancellation is made three months or less before the start of the exhibition, then the rescheduling deposit and the full Hire Fee of £975 will be retained by the Institution (and any unpaid balance must be paid).

5.4.9 Bookings may only be made by entering into the formal hiring agreement and no booking will be binding on the Institution until the Institution has sent the Hirer a copy of the hiring agreement signed on behalf of the Institution and received the £375 initial payment on account of the Hire Fee and the £100 rescheduling deposit.
